Cancellation Policy

1. Cancellation Fee:
   • a. Any appointment cancellation made within 24 hours of the scheduled time or failure to attend scheduled appointment (“no show”) will result in a cancellation fee.
   • b. The cancellation fee for regular business days (Monday to Friday) is $50 for neurotoxin or neurotoxin follow up and $100 for filler, Sculptra, or a filler dissolve. 
   • c. The cancellation fee for weekends (Saturday and Sunday) is $100 for neurotoxin or neurotoxin follow up and $150 for filler, Sculptra, or a dissolve. 
2. Cancellation Process:
   • a. If you need to cancel or reschedule an appointment, please contact us at least 24 hours in advance during regular business hours.
   • b. Cancellations are only accepted when contacted via email (hello@ewamedspa.com) or by phone (585-362-5577). Please note, any cancellations via social media will not be accepted. 
3. Payment of Cancellation Fee:
   • a. The cancellation fee will be charged to the payment method provided at the time of booking.
     b. In case the payment method is unable to be charged, we reserve the right to pursue alternative means for fee collection or deny the booking of future appointments with the practice. 
4. No-Show Policy:
   • a. A “no show” is defined as a missed appointment without prior cancellation.
   • b. After two no-show appointments, we reserve the right to remove the patient from our practice.
   • c. Removal from the practice will be communicated to the patient in writing via email, stating the reason for the action and any relevant details.
5. Grace Period:
   • a. We understand that unforeseen circumstances may cause slight delays. However, there is an 8-minute grace period for arriving late to an appointment.
   • b. If a patient arrives later than 8 minutes past the scheduled appointment time, it will be considered an automatic cancellation, and the cancellation fee will apply.
6. Exceptions:
   • a. We understand that emergencies and extenuating circumstances may arise. If you anticipate being late or experiencing an unexpected situation, please contact us as soon as possible. 
   • b. Our business reserves the right to waive or modify the cancellation fee, no-show policy, and grace period at its discretion.
7. Refunds:
   • a. The cancellation fee is non-refundable and non-transferable.
   • b. In the event of a refundable deposit or prepayment made for a service, the cancellation fee will be deducted from the refundable amount.
